This Privacy Policy describes how Softills Technologies Private Limited ("we", "our", "us") collects, uses, stores, shares and protects information when you visit www.digikalvi.com, subscribe to our services, or use the DigiKalvi and DK Track applications and related services (together, the "Services").

DigiKalvi is a school management and communication platform for schools, administrators, teachers, students and parents. DK Track is a school transportation and bus tracking application that enables authorised users to monitor school bus locations.

By using the Services you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please do not use the Services.

3. Information We Collect

Information provided by schools and users

Student information (name, class, contact details, academic records)
Parent or guardian information
Staff details
Login details (username and encrypted password)

Subscription and billing information

Institute name, contact person, email address and phone number
Billing details such as GSTIN and billing address, where provided
Plan chosen, number of students, order amount and payment status

Payment information

Online payments are processed by our payment gateway partner, NTT DATA. When you pay, you enter your card, UPI, net-banking or wallet details on the secure payment page operated by the payment gateway and your bank. We do not collect or store your card number, CVV, UPI PIN or net-banking credentials. We receive only the transaction status, transaction reference, amount and date needed to activate your subscription and keep our accounts.

Device information, IP address and application or website logs
Location information (precise or approximate), only when permission is granted for bus tracking

4. How We Use Your Information

To operate and manage school administration through the Services
To verify identity and provide access to accounts
To process subscription payments, issue invoices and receipts, and respond to billing queries
To send notifications, service messages and communication on behalf of schools
To generate analytics and academic reports for schools
To provide school bus tracking and related transportation services
To prevent fraud, secure the Services and resolve technical problems
To comply with legal, tax and accounting requirements

5. Sharing of Information

We do not sell your personal data. We share information only with:

Authorised administrators of your school, as part of the Services
Our payment gateway partner (NTT DATA) and banks, to process payments, prevent fraud and handle refunds
Service providers who help us run the Services (such as hosting and messaging providers), under confidentiality obligations
Government or legal authorities where required by law

6. Cookies and Similar Technologies

Our website may use cookies and similar technologies that are necessary for the site to work and to remember basic preferences. You can control cookies through your browser settings.

7. Data Security

We use encryption, secure servers and role-based access control to protect data, and payment pages are served over secure (HTTPS) connections. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Data Retention

School data is retained for as long as the school uses DigiKalvi, and for a reasonable period afterwards unless deletion is requested. Billing and transaction records are retained for the period required by applicable tax and accounting laws.

9. Children's Information

Student information is provided and controlled by the school. Schools are responsible for obtaining any consents required from parents or guardians. We process student data only on behalf of the school and for providing the Services.

10. Your Rights

Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you may:

Request access to your personal data
Request corrections to inaccurate data
Request deletion of your data (for school and student data, through your school administrator)
Withdraw consent for optional processing, such as location access

11. Location Information

DK Track may request access to device location information to provide school bus tracking and transportation monitoring features. Location information is collected only when you grant permission to the application and when bus tracking features are enabled by the school.

Location data is used solely to display and monitor the real-time location of school buses for authorised users such as school administrators, parents and staff. We do not sell location information to third parties. It is shared only with authorised users and school administrators as necessary to provide the bus tracking service.

You may disable location access at any time through your device settings. Location data is retained only for as long as necessary to provide the service and comply with legal requirements.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top shows when it was last revised. Continued use of the Services after changes means you accept the updated policy.
