How to Move Your School from Paper to ERP in 4 Steps

By DigiKalvi · 13 October 2026 · 5 min read

Going digital does not have to be disruptive. Most schools can move from registers and spreadsheets to a school ERP in a few weeks by following a clear plan. Here is a simple four-step approach.

Step 1: Sign up and set up your school

Create your account and enter your school's basic information: name, academic year, contact details and branding. A good setup wizard guides you through this in minutes. Decide who will be the main administrator and who will help with data entry.

Step 2: Customise and configure

Set up your classes, sections and subjects. Define fee structures and user roles so that teachers, accountants and parents each see only what they need. Doing this carefully at the start saves rework later.

Step 3: Import your data and launch

Use bulk upload to import existing student and staff records from your spreadsheets. Clean obvious errors before importing. Train teachers and office staff on the few tasks they will do every day, such as attendance and homework. Then start using the system for real, ideally at the beginning of a term.

Step 4: Manage and grow

Once the school is running on the system, use the reports to understand attendance, fee collection and exam results. Invite parents to the mobile app, and add further modules such as transport or payroll as your team gets comfortable.

Tips for a smooth rollout

Keep the first phase small, name one champion in each department, and collect feedback weekly during the first month. Celebrate the time saved; it helps adoption.
