Refund & Cancellation Policy

1. Subscription Cancellation

Schools subscribing to DigiKalvi School ERP may cancel their subscription at any time. Cancellation will take effect at the end of the current billing cycle (Monthly or Annual). No partial refunds are issued for unused days within an active billing period. Access to the platform will remain available until the subscription expiry date.

2. Onboarding & Setup Fees

One-time implementation, onboarding, training, or data migration fees (if applicable) are non-refundable once the onboarding process has commenced. If cancellation is requested before onboarding work begins, refund eligibility will be reviewed on a case-by-case basis.

3. Annual Subscription Plans

For annual plans, if a school terminates the subscription before completion, a pro-rata refund for unused full months may be issued. A 20% early termination administrative fee may be deducted from the refundable amount. Refunds are not applicable for partially used months.

4. Data Retention & Portability

Schools are responsible for exporting their data before subscription expiry. Data will be retained for 30 days after cancellation. After 30 days, all school data will be permanently deleted from our systems.

5. Refund Eligibility

  • Duplicate Payment: Accidental duplicate payments will be refunded within 7-10 business days.
  • Technical Failure: If core functionalities fail and cannot be resolved after reasonable attempts.
  • Non-Delivery of Service: If subscription access is not provided after successful payment.

Due to the digital nature of SaaS services, DigiKalvi generally follows a No Refund Policy once service access has been activated.

6. Non-Refundable Charges

  • Government taxes and statutory charges
  • Payment gateway convenience fees
  • Onboarding and setup fees (once initiated)
  • Partially used subscription periods

7. Refund Process

  • Email your request to support@digikalvi.com
  • Use subject: "Refund/Cancellation Request - [School Name / Invoice Number]"
  • Requests are reviewed within 5 working days
  • If approved, refunds are processed within 15-30 business days to the original payment method
